This is a general overview of the Schedule page. All of the actions described below are explained step by step in corresponding guides which are linked at the end of the article.

Schedule allows you to manage and organize your agenda – create shifts and assign them to staff members in the system, view shift statuses and publish and send updates to relevant employees by email.

On the left hand side of your Schedule page you can filter your schedule overview by either Sites or Events, Staff or Subcontractors and also All or Preferred staff. You can add sites and events on the corresponding pages that you can access from your top tool bar.

At the top of your Schedule page you can see the dates and days of the week and the shifts that need to be covered each day under those dates. You can scroll back and forth between weeks by clicking on the arrows on top of the calendar or click on the week to pick a time period from the calendar yourself. Above the Shifts section there are four view options – Calendar, Shift List, Worksheet, Shift Patterns 

When you go to your Schedule page, it will automatically open in 'Calendar' view which will give you a broader overview of all your shifts and will also allow you to easily assign staff members to certain shifts, but you can also pick the 'Shift List' view from the top directly under the 'Schedule' icon.

The 'Shift List' view will display all the shifts by their status (confirmed shift, waiting for approval, and shifts that staff applied for) and displays the same information as the calendar, but in a more compact view. To find out more information about the shift in the 'Shift List' view, click on the date and it will open another box on your right hand side that contains all the details about that specific shift. You can not assign staff members to shifts in 'Shift List' view.

Within the 'Shift list' view you can filter the shift by approved shifts 'Shifts', waiting for approval 'Waiting' and shifts that staff has applied for 'Applications', by ticking appropriate boxes (within the red frame). You can also filter by date, position, site, staff member and many other filters.

You can access your Worksheets page from the third icon 'Worksheet table' - the one shaped like a little sheet of paper in the top left corner.


Moving on to the last icon on the 'Schedule' page you will find 'Shift Pattern' tab, which provides you with a list of all of your shift patterns: it displays start and finish times, who it is assigned to and to which department or site. You can also filter this view by shift; either previous, running or past patterns, by date, staff member or a site. As well on this page you can make necessary changes to the patterns you have saved.

On the 'Calendar' view there is a list of all of your employees inserted in the system. You can display all of your staff members at the same time or view specific employees' schedule by typing their name in the Filter Staff search box in the top left corner of the 'Calendar' view.

After making any changes to the schedule, you can publish them either one by one which will send a notification to a specific employee connected to a specific shift or send out a rota, which will email the whole weekly schedule to all employees working that week.
