General Troubleshooting steps
1. Incident Reporting overview
The Incidents functionality helps you report and manage incidents during a running shift. Maintaining a comprehensive incident log is crucial for the following:
Protecting you and your business legally
Helps identify potential risk patterns
Improves workplace safety
2. Reporting an Incident
Disclaimer: Incident Reporting can be added only through the Parim app when a shift is running on the Time Clock tab - a 'Report Incident' will appear. This also means that your company environment must allow clocking actions.
While the Incident Reporting functionality is meant for employees to use, the functionality is also available to be added or reported by admins on their own Parim mobile app; and admins can make Incident Reports on behalf of the employee, whose shift is running.
When 'Report incident' is tapped, the reporter will be directed to the next page to fill in the Incident - everything that was added on the Incident Settings page will appear here. In addition, photos of the incident can be taken and/or uploaded through the Gallery (supported file types are .jpeg, .png, and .bmp).
After the Incident is filled in and 'Saved', it will be considered Reported. The employee and/or admin can look over the reported Incident to make any adjustments to report another Incident. To make adjustments to the reported Incident(s), 'Incident reports' need to be selected - there, choose the Incident and make changes.
Reported Incidents can have many different statuses depending on your operations workflow (as shown below). Admins can make adjustments to your reported Incidents through their Parim app and through the Admin Portal. Please note that Incidents cannot be added when the shift has ended.
While the adjustments can be made to the reported Incident by the employee and/or the admin, the Incident Report cannot be managed in the app, but on the Admin Portal (e.g. change the status). It is recommended to reach out to your employer, should you have any questions about the reported Incidents.
3. Incident statuses
Your reported incidents always end with the Reported status. As the admins follow up on the individual incidents, the incident status can be changed between Reported, Received, Escalated, Rejected and Closed depending on the internal operations processes of your company.
Statuses should help better understand and manage incidents through their lifecycle and differentiate which are being worked on or do not require further action.
Things to keep in mind:
If the shift where the incident was reported is still running, as an employee, you may still add/edit information on the report.
If the incident status is changed to Rejected or Closed, this will restrict any further changes being made.
4. General Troubleshooting steps
The following topic will cover general troubleshooting steps, should one encounter them. Should you still require further assistance, don't hesitate to let our support know.
Why can't I report an Incident? - Incidents can be reported on the Parim app through a running shift - make sure you are clocked in
But there is no Report Incident selection? - please check with your employer if the Incident Reporting module is turned ON.
Can't locate where to add Incidents? - Incidents can be added/modified on the Time Clock page on the app
Can't upload an image? - only .jpeg, .png and .bmp file format images are supported.
Unable to edit a reported Incident? - check the status of the Incident > Rejected or Closed status Incidents cannot be modified and you should reach out to your employer if you need to or like to add adjustments
Mobile app crashes? - while rare, some corrupted data stored on the phone app storage may cause crashes > please reinstall the app
Not sure what or how to fill in the Incident Report? - please check the process for filling in the Incident Report with your employer and follow the internal processes set by the employer.
