The purpose of this article is to give an overview of the invoicing report. First part of the article covers an introduction of the new features and upcoming additions. The second part explains the functionality in detail.

1.1 What is the invoicing report and why is it useful?

Our first goal was providing a report that contains all of the data needed to create invoices on a single page. And the second goal was making it possible to export the data as a CSV file in a way that it can be imported directly into accounting software.

Invoicing report is a new report that is meant to replace Revenue Summary in the long run. It shows financial data from client and charge perspective. The functionality is very similar to Pay Run report to make it easier to learn.

1.2 Initial launch features.

New functionality includes the following features:
- Distinguishing between approved and unapproved time-sheets.
- Advanced filtering that allows better customizing of the report to fit your company's needs.

- System setting to decide if invoicing is done by scheduled hours or actual hours.
- Different grouping options.
- Margins (the difference between what's charged from the clients and the pay that employees receive). NB! Expenses do not have margins - they are either fully covered by your company or by your client.

1.3 Post-launch features we intend to implement.

In the future, we will add additional features such as:
- PO codes (charge rule codes).
- Detailed margins and margin %.
- Charge periods and charge locks.

2. Invoicing report page functionality.


The page consists of a filter bar, search bar, grouping options, period totals, a list of actions, column selection and the data table. You can access the report by clicking on Pay & Charge button.

2.1 Filter bar.

The default view is "All clients & shifts". However, you can create a custom view, save it and set it as default view if you'd like.

You can select various pre-set time periods or select the time period from a calendar.

You can also select which combination of shifts, jobs and expenses you want to see.

You can also select if you want to see timesheets that are approved, not approved or both.

You can filter shifts by departments. The option People above it lets you define if departments are filtered by people or locations because departments are attached to both.

Location, departments and client filters are the most commonly used options but there are additional filters available by clicking on +Add Filter.

When clicking on +Add Filter, you can select additional filters:

Charge codes can be added to any charge rule and then used to filter shifts.

Charge rule lets you filter shifts by rule.

Day allows filtering by specific weekday(s).

Employment type and Events are self-explanatory.

Margin % and Margin £ allow you to search and filter shifts by margin to for example find shifts with low or even negative margins.

People let's you filter by individuals or groups of employees.

Positions allows filtering by specific role.

Tags allows filtering by shift tags. More info on shift tags can be found HERE.

2.2 Row grouping options.

Grouping allows you to view groups of similar shifts for a better overview. The default grouping is by client, location and position but there are 8 additional grouping options available. You can also select the shifts to have no grouping. You can see the visual overview of the options below:

2.3 Column selection.

Column selection is highly customizable. The only mandatory field is Client, everything else can be selected based on your reporting needs. There are 4 columns to visually separate the type of information: client, work details, dates & times and billing. Here is a visual overview - over time we will add more options.


2.4 Additional functionality.

You can export the data as as a CSV file, either with grouped or single rows. You can also print it.

You can also get a quick summary of totals based on your filtering results.

As searching by client is a very common action, we have added it as a separate search bar.

In System Settings -> Invoice Manager you can choose based on what the clients are charged - either scheduled or actual hours.
