Become a Scheduling Pro: 7 Tricks for Scheduling Efficiency

Overview

Scheduling holds a prominent role in the workflow of every manager. Some managers have to deal with hundreds or thousands of shifts regularly.

PARiM calendar offers a host of additional functionalities that let managers create multiple shifts, copy specific scheduling days or weeks, perform actions for multiple shifts in one go and more.

Become a scheduling pro by learning these top 7 tricks for more efficient and simplified scheduling.

1. Solution for recurring shifts - shift patterns

If you have employees doing recurring shifts or locations that need to be covered at all times, adding shift patterns would considerably optimise your scheduling.

To add a pattern, go to Schedule => Patterns. Here tap ‘Add pattern’ in the upper right corner. And the final steps would be to:

  1. name a pattern

  2. select shift occurrence: weekly, specific day of month etc.

  3. select location, position, people

2. Publish, unassign and delete multiple shifts

With the Select Mode enabled, you gain the ability to perform actions simultaneously for multiple shifts: unassign, send reconfirmation requests, resend shift details, and delete.

Additionally, you have the flexibility to select different calendar views, such as a 2-week, 4-week, or 1-month view. This allows you to have a broader perspective and apply multiple actions to shifts within a larger time frame.


3. Copy, paste and drag multiple shifts

Using the Select Mode, you can easily copy multiple shifts at once as well as drag them to another date or employee:

To create multiple identical shifts in 1 click, you need to tap on the date when you create a shift and select dates in the calendar to add identical shifts:


5. Adding an open shift in 1 click

If the open shifts area is full of shifts - no need to scroll, you can right-click any of the dates and add a new open shift or even a shift pattern or a job:


6. Quick shifts search

Having hundreds or even thousands of shifts makes it more difficult and time-consuming to find the right one. Here comes into play our filtering with the option to save it.

Step 1. Select and remove any filter criteria, such as department, location, position and shifts published/ unpublished or any other criteria from the list.

Step 2. Make up a name for it to always be able to access a specific filtering view.

Step 3. Hit the ‘Save view’ button.

In the example above, I add ‘Position’ to the filter bar and then search for ‘Guard’ position, then I also add Shifts published/ unpublished. The final step is saving the filter, which is then displayed under its name in the filters list ‘Guards - shifts published’.

The identical filter bar is present on nearly all pages within the system and operates in the same manner as it does for searching shifts. You can check more instructions for the filter bar here.


7. Filling open shifts faster

Based on the most recent data, 33% of staff members found new open shifts through push notifications.

So if you have open shifts that you need to cover fast, you can turn on push notifications for open shifts. This way employees will get push notifications about new open shifts directly on their phones and can apply immediately.

To enable these notifications, you need to toggle on 'Notify “People” of any activity in their Schedule' in System Settings => Notifications, Scheduling section.

Important! Employees will receive push notifications only if they have allowed PARiM mobile app to send push notifications on their devices.
